This trip is limited to 26 people.
The tour cost is $4,999 per person (pp), based on double occupancy. Recommended gratuities are $18 per person per day. (This gratuity fee includes gratuities for baggage handling, the guides, drivers, and meals.)
A $1,000 per person deposit (payable by MasterCard, Visa, Discover, Diners Club, or American Express or by check drawn on a U.S. bank) along with a completed reservation form confirms your space. A second advance payment of $1,000 is due August 1, 2014. Combined, these two $1,000 payments ($2,000 total) represent your “Deposit”. The balance is due (“Final Payment date”) October 1, 2014. (If you book after October 1, 2014, your Final Payment is due at the time of booking.)
Roundtrip air between Miami and your home gateway is NOT included. The roundtrip flights between Miami and Havana are INCLUDED. Please see the section What’s included in the costs for the complete list.

Any cancellation or change of status (or request for a change in status) which relates to your booking must be transmitted as soon as possible to Insight Cruises in writing or via email. If you have travel insurance, and there is an unnecessary delay in notifying us of your change in status, your “cancellation date” will be affected and will adversely affect your insurance reimbursement.
Name changes are permitted (for a $150 fee) up until the time air tickets have been issued to Insight Cruises by our Miami-Cuban air supplier. This is not a fixed date and varies by flight availability — please contact us before requesting a name change.
From the 14th day after booking, a Cancellation Processing Fee of $250 per person will be assessed (but will be applied towards any future Insight Cruise). Additional per-person cancellation fees are based on date of receipt of notice to cancel (via in writing or email):
Air and/or pre- and/or post-tour bookings, including but not limited to hotel packages are subject to the same cancellation fees cited above.
If the tour is canceled by Insight Cruises for any reason, Insight Cruises shall incur no liability beyond the refund of all tour participants’ payments received. However, if Insight Cruises must cancel for reasons beyond its control, including but not limited to weather, disease, strikes, acts of God, acts of terrorism or war, Insight Cruises’s liability shall be limited to a refund of only those portions of the tour cost Insight Cruises is able to recover from suppliers.
All prices are subject to change until your booking is confirmed. We will notify you of any price changes, and await your acceptance, before your reservation is considered “booked” and confirmed. Before October 1, 2014, either party may cancel the booking within 14 days of initial Deposit, with no penalty, for any reason. If you have booked after October 1 and cancel your trip, you will forfeit your trip fee. We’ll send you an email confirmation (if you provide us with your email address) and an itemized invoice (“DEPOSIT AND FINAL PAYMENT CONFIRMATION”) via mail/post within three (3) business days of your Deposit. You must return a signed copy of your DEPOSIT AND FINAL PAYMENT CONFIRMATION form within 30 days of booking or your reservation is subject to cancellation. If you do not return this form by the FINAL PAYMENT date, your reservation will automatically be cancelled and cancellation penalties will be assessed. You will be sent reminders via email and by phone before your reservation is cancelled.
Any/all lost deposits — as a result of a cancellation — for this event can be applied to any future Insight Cruise conference fee.
A Passport (valid for six months after the last day of your trip) is required. Non-U.S. citizens residing in the United States will need valid Alien Registration (green) cards as well. Nationals of other countries may or may not require a visa for entry in to Cuba. In general, citizens of other countries are required to obtain a tarjeta de turista (tourist card) usually valid for 30 days which is usually issued through the airline or agency handling your travel arrangements (cost is subject to change). Please contact the Cuban Interest Section in Washington, D.C. or a Cuban consulate to get the specific requirements for entry.
Nationals of other countries must have the necessary documentation authorizing you to enter the United States at the start of your trip and return to the United States at the end of your trip (i.e. multiple entry visa, visa waiver, residency card, etc., if required), as you will be subject to full immigration procedures upon re-entering the United States.
All travel documents such as passports, visas, proof of citizenship, etc., that are required for entering the United States, and re-entry into the country of final destination are the responsibility of the passenger. Everyone is asked to check with their government’s agencies, embassies, or consulates to determine documentary requirements and/or needs for visas. You must have all required visas when boarding the airplane for Havana at the beginning of your trip. You will be denied boarding on our plane to Havana without proper proof of citizenship and necessary visas.

If you are an American citizen and need to apply for a new passport, renew your current passport or get additional visa pages to your current passport, you can visit your closest Passport Acceptance Facility. When you book an Insight Cruise event, we include trip insurance brochures in with your Confirmation and Deposit. Please carefully consider buying this or other travel insurance.
We’ve never had a guest cancel because they won the lottery or had a brilliant stroke of fortune. More often than you would expect, we have had guests cancel because of pre-event illnesses, sports injuries, broken bones, death in the family, unexpected surgery, emergency surgery, stolen passports, and general family uproar. Life does throw curves. Spare yourself financial disappointment if your trip must be cancelled or is interrupted.
Are you covered by Medicare if you travel outside of the United States?
Trip Cancellation and Interruption Insurance can also protect against cancellation penalties. When you book an Insight Cruise, we include one or more trip insurance brochures in with your invoice, based on your age.
For this trip, we offer Travel Guard Gold; it will reimburse you 100% for covered reasons — assuming you have insured the full cost of your trip:
Travel Guard Gold coverage includes protection such as Trip Cancellation, Trip Interruption, Emergency Medical and Dental, Travel Assistance Services, Supplier Financial Default, and even Job Loss Protection. If you purchase within 10 days of your initial deposit, your medical coverage is upgraded to Primary Coverage*. You can read about Travel Guard Gold insurance here. Insight Cruises will purchase this insurance for you.
NOTE: Travel Guard Gold is only available to U.S. and Canadian citizens. For those living outside North America we do recommend buying insurance from any local travel agency. *Primary Coverage is ideal for those who rely on Medicare, for instance, or others who do not have healthcare coverage outside the U.S.A.
Additional pre- and/or post-tour hotel stays are available through Insight Cruises. The rate is $275 per room per night (plus a $50 per person service fee applied to your pre- and post-hotel stays) and includes all taxes.
As there are no scheduled flights between the USA and Cuba, your flights to and from Havana will be via a Charter Flight. Due to space limitations we ask you to please limit your checked luggage to only one average-sized suitcase per person, not to exceed 44 pounds. There is a $20 fee per checked bag on the Charter Flight. Overweight baggage is charged at $2 per pound over 44 pounds.
Airfare from all major cities, worldwide, to Miami is available from us or CRC Travel. If Insight Cruises arranges your air we pass on our costs to you plus add a $75 per person service fee. We urge you to check airline cancellation penalties before purchasing airline tickets. Neither Insight Cruises or Insight Cruises’ suppliers accept liability for cancellation penalties related to domestic or international airline tickets purchased independently in conjunction with Insight Cruises’ events.
Baggage fees and other charges may be directly assessed by airlines or airports. Be certain to confirm all air flights 72 hours prior to departure.
Baggage and personal effects are at all times the sole responsibility of the participant (Trip Cancellation and Interruption Insurance typically provides you with an allowance to buy replacements for your trip.) Most homeowners policies, and most airlines, cover your lost luggage.
Additional expenses incurred due to a change, delay, or cancellation of any flight will be the responsibility of the participant.
The Hello Cuba program is approved as a “people-to-people” educational exchange travel event. The program consists of a full schedule of educational exchange opportunities and significant interactions between guests and Cubans. You are required to attend all scheduled meetings, meals, and events on the program. Participation is mandatory. Because of licensing rules, no deviation from this itinerary is permitted. While there is very little free time most days, there are some scheduled evenings when you can explore on your own.
Due to the nature of the Hello Cuba People to People Exchange program, the day-by-day order of your itinerary is subject to change and should only be used as a guide. Access to some elements of the program is controlled by the Cuban government. Other elements may be impacted by outside factors, such as the availability of individuals, or weather conditions. The tour operator will strive to produce the program as noted on these webpages, but all activities are subject to change without notice, without penalty.

Participants on Insight Cruises tours may be photographed for educational and promotional purposes.
Smoking is not allowed aboard buses or during any indoor group activity.
This tour incorporates active elements including walking over unpaved paths. To enjoy this program, you must have a reasonable level of fitness. You must disclose in your Participant Information Form (or at such later time when you become aware of such a condition) any existing physical or mental illness, disability, pregnancy, or any other condition which may create a health hazard for yourself or others during the Tour or for which you may require medical attention or special accommodation during the Tour. We will make reasonable efforts to accommodate your needs, but you must notify us at the time of booking for a determination of what assistance we can reasonably provide. We regret that we cannot accommodate you if you have special needs for ordinary daily activities, such as walking and dining. In no instance will our Suppliers or will we physically lift or assist you on to or off any vehicles. If we cannot accommodate your special needs, you must be accompanied by a companion who will be responsible for independently providing the needed assistance.
Insight Cruises acts only as an agent for the respective suppliers by making arrangements for transportation, accommodations, and other services. Neither Insight Cruises nor Insight Cruises’ suppliers shall be held liable for personal injury, death, property damage or accident, delay, or irregularity arising out of any act or omission of Insight Cruises’ suppliers.
Insight Cruises and its suppliers shall not be held liable for denied airplane boarding, nor for the resulting addtional costs, nor for monies not recovered for missed land arrangements, due to airline delays. Additional expenses incurred due to a change, delay, or cancellation of any flight will be the responsibility of the participant.
If any tour member chooses not to participate in any included activity or meal, there will be no refund for that unused portion of the tour. If any tour member leaves or is removed from the tour, a refund only for refundable unused services shall be made. This tour may be sold in conjunction with the services of any airline. The passenger tickets in use by the carriers, when issued, shall constitute the sole contract between the carriers and the passenger. Carriers are not responsible for any act or omission or events during the time tour participants are not aboard their conveyances.
Insight Cruises reserves the right, without penalty, to decline to accept any person as a participant. Insight Cruises reserves the right to require any participant to withdraw, at the participant’s own expense, from the event at any time, when such action is determined by Insight Cruises’ staff to be in the best interests of the health, safety, or general welfare of the group or the individual participant; Insight Cruises will then refund the recoverable portion of the total amount paid that corresponds to the cost of unused services and/or accommodations, if applicable. Insight Cruises accepts no liability for the purchase of non-refundable airline tickets to the tour departure city and return. Baggage and personal effects are at all times the sole responsibility of the participant.
Dates, schedules, and program details, although provided in good faith based on information available at the time of publication of the flyer(s) or the website, are subject to change and revision.
AS A CONDITION OF ACCEPTANCE OF ANY APPLICATION, EACH APPLICANT MUST AGREE TO THE STATEMENT SET FORTH BELOW: The undersigned has read carefully the RESPONSIBILITY STATEMENT AND LIABILITY DISCLAIMER set forth above, the schedule of activities for this event, as well as the TERMS, CONDITIONS, and OTHER DETAILS of application and participation as set forth in the event brochure and/or the Insight Cruises webpages, and recognizes and accepts any risk associated with the event and the conditions, including the refund policy, set forth above. The undersigned further acknowledges that there are many risks and uncertainties inherent in any travel, including but not limited to the hazards of various modes of transportation, forces of nature, force majeure, acts or omissions of foreign governments, terrorism, civil unrest, war or insurrection, theft, illness, disease, strikes, and damage to person or property due to the negligent acts or omissions of event staff or others. In consideration of, and as part payment for, the right to participate in the event, the undersigned, on behalf of him or herself, his or her dependents, heirs, executors, administrators and assigns, agrees to release Insight Cruises and its officers, employees and agents, from liability for personal injury, death, property damage or loss suffered by any person in connection with this event, even if caused by the negligence (but not the reckless, willful, or fraudulent conduct) of event staff or other related persons or entities. In addition, by registering for this event, the applicant certifies that he or she is mentally and physically capable of full participation in this tour.
Any litigation concerning this tour shall be brought in Los Angeles County, in the State of California, pursuant to the laws of California. Changes in this Responsibility Clause can be made only in writing and signed by an officer of Insight Cruises. Deposits paid by tour participant indicate acceptance of the above terms and conditions.
BY REGISTERING FOR THIS CUBAN TOUR, THE PARTICIPANT AGREES TO THE RESPONSIBILITY STATEMENT AND LIABILITY DISCLAIMER AND THE TERMS AND CONDITIONS HEREIN.
You agree to present any claims against us within ninety (90) days after the Tour ends and to file any suit within one (1) year of the incident, and you acknowledge that this expressly limits the applicable statute of limitations to one (1) year. In lieu of litigation and jury trials, each of which is expressly waived, any dispute concerning, relating or referring to this Participation Agreement, the brochure, or any other literature concerning your trip or the Tour shall be resolved exclusively by binding arbitration in Los Angeles, California, according to the then existing commercial rules of the American Arbitration Association. Such proceeding will be governed by the substantive law of the State of California. The arbitrator(s) and not any federal, state, or local court or agency shall have exclusive authority to resolve any dispute relating to the interpretation, applicability, enforceability, conscionability, or formation of this Participant Agreement, including but not limited to any claim that all or any part of this Participant Agreement is void or voidable.
